Position Summary
The Administrative and Human Resources Officer plays a key role in supporting the operational efficiency of Madrasati by managing administrative systems and human resource processes. The position ensures smooth office operations, compliance with internal policies and donor requirements, and effective coordination between administrative, finance, and program teams.
The role contributes to maintaining strong institutional systems that support Madrasati’s programs and staff, enabling the organization to operate efficiently while maintaining high standards of accountability and professionalism.
Key Roles and Responsibilities:
Human Resources Management
- Support recruitment processes including preparation of Terms of Reference, vacancy announcements, candidate screening, and interview coordination.
- Prepare employment contracts, amendments, and HR-related correspondence.
- Maintain accurate and confidential personnel records in compliance with organizational policies and audit requirements.
- Monitor staff attendance, leave records, and timesheets.
- Coordinate onboarding and orientation processes for new staff.
- Liaise with relevant units regarding payroll inputs, insurance, and social security compliance.
Administrative Operations
- Oversee daily office administration and logistics to ensure efficient workplace operations.
- Provide administrative support to the Initiative Lead and management team including meeting coordination, documentation, and follow-up on action items.
- Maintain the asset register and oversee inventory management.
- Support procurement processes in line with organizational policies.
- Ensure proper archiving and documentation of contracts, agreements, and official records.
Compliance and Documentation
- Maintain organized administrative and HR filing systems.
- Support preparation of documentation required for internal and external audits.
- Track HR compliance requirements and contract documentation.
- Coordinate with program teams to ensure administrative documentation meets donor compliance standards.
Other:
- Participate in planning and partners meetings as requested and when available.
- Performs other duties as required by line manager.

Qualifications
- Bachelor’s degree in Business Administration, Human Resources, Public Administration, or a related field.
- Minimum 3 years of relevant professional experience in HR and administration.
- Knowledge of Jordanian Labor Law and Social Security regulations.
- Experience working with NGOs or donor-funded projects is an advantage.
- Strong organizational and documentation skills.
- Fluency in Arabic and English.
